Privacy Policy

Who we are

This policy covers rodcosystems.com and the quote requests, calls, texts and emails that reach Rodco Systems. Rodco Systems is an assumed name of EJR International LLC, a Texas limited liability company. “We” and “us” mean EJR International LLC doing business as Rodco Systems.

If you are in Mexico, the aviso de privacidad also applies to you, and its Spanish text controls.

What we collect

• What you type into the quote form: your name, business name, email, phone, how you want us to reply and in which language, your website, your line of business and city, what you need, whether you want the free sample, your timeline, an optional budget range and your message.
• Your text-message choices: whether you checked either consent box on the form, the version of the consent wording you saw, and when you sent it.
• Lead forms on Facebook and Instagram: if you send us your name, phone, email, ZIP code and answers through a Meta instant form, Meta passes them to us and keeps its own copy for 90 days under Meta’s terms. We use them to call, text or email you about your free sample and quote.
• How the form reached us: the page you sent it from, any campaign tag in the link you clicked, and a keyed hash of your IP address, stored with the submission to limit abuse of the form. We cannot turn the hash back into your address.
• What you send us directly: emails, calls, texts and WhatsApp messages.
• Technical data: your IP address, browser type, the pages you request and the time. Any website receives this. Cloudflare processes it to deliver the site and stop attacks.
• Spam check: the quote form uses Cloudflare Turnstile, which reads signals from your browser to tell people from bots. Cloudflare describes this in its Turnstile privacy addendum.
• Analytics: Cloudflare Web Analytics counts page views and measures page speed. Google Analytics loads only if you accept it in the cookie banner.

We don’t ask for sensitive data such as health information, bank or card numbers, or government ID numbers. Please don’t send them through the form.

Why we use it

• To answer your quote request, prepare a proposal and, if you hire us, deliver and bill the work.
• To send the text messages you agreed to, and to keep a record of that consent.
• To keep the site working and secure.
• To see which pages help visitors, using counts rather than profiles.
• To meet legal and tax obligations.

We send marketing emails or marketing texts only to people who asked for them.

Who processes it for us

These service providers handle personal data on our behalf and only to do the job we give them:

• Cloudflare, Inc. hosts the website, protects it, runs the analytics and the spam check on the form.
• Resend delivers the emails the quote form sends to us.
• Meta Platforms, Inc. (Facebook and Instagram) collects the answers you give on our lead forms there and passes them to us. Meta’s own privacy policy governs its copy.
• A customer relationship management (CRM) service stores client records and sends and receives our text messages.
• Messaging providers and phone carriers carry those text messages.
• Google runs Google Analytics, only if you accept analytics cookies.

Data is stored and processed mainly in the United States.

Text messages

If you give us your number on the quote form or on a Facebook or Instagram lead form, we may call or text you by hand about your request. If you check a text-message box on the quote form, we also text you about your request and your project through our messaging service. If you also check the marketing box, we may send occasional offers. Both boxes are optional. The SMS Terms explain message frequency, costs, HELP and STOP.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

The subcontractors that help us deliver messages, such as our messaging platform and the phone carriers, receive your number and the message so they can deliver it. They do not receive it for their own marketing.

We do not sell or share personal data for ads

We do not sell personal data, and we do not rent or trade contact lists. We do not share personal data with anyone to show you ads on other websites or apps, and we do not build profiles of visitors.

You can decline analytics in the banner or block cookies in your browser settings. Cloudflare’s security cookies protect the site and can’t be switched off for it.

How long we keep it

• Quote requests and client records: as long as we need them for the work, our business records and legal obligations. Then we delete them.
• Text-message consent records (opt-ins, opt-outs and the consent wording you saw): five years after our last message to you.
• Technical logs and analytics: kept by Cloudflare, and by Google if you accepted analytics, under their own retention periods.

Security

Every page and form submission travels over HTTPS. Access to client records is limited to the people doing the work. We choose established providers. No system is perfectly secure, and if a breach affects your personal data, we will tell you as the law requires.

Children

This site and our services are for businesses. They are not directed to children under 13, and we do not knowingly collect personal data from them. If you think a child sent us information, write to us and we will delete it.

Your requests

You can ask to see the personal data we hold about you, to get a copy of it, to correct it or to delete it, and you can withdraw consent to texts or marketing email at any time. Write to sales@rodcosystems.com from the email you used with us, or tell us the phone number you gave. We may ask you to confirm who you are before we act. There is no charge, and we answer within 45 days. If you disagree with our answer, reply to it and we will look again. To stop texts right away, reply STOP to any message. To stop marketing email, use the unsubscribe link in it or write to us.

Texas Data Privacy and Security Act

The Texas Data Privacy and Security Act (Texas Business and Commerce Code, chapter 541) applies to businesses that are not small businesses as the U.S. Small Business Administration defines them. There is one exception: a small business may not sell sensitive personal data without the consumer’s prior consent (section 541.107). Rodco Systems is a small business, and it does not sell personal data of any kind. Even so, we honor the requests described above for everyone, whatever state or country you are in. Changes to this policy

When this policy changes, we post the new version on this page and update the dates at the top.
