The problem it solves

Monthly bookkeeping means someone records every dollar in and out of your business each month, checks it against the bank and hands you a report you can read. We do that for small businesses in El Paso, Horizon City, Socorro and Las Cruces, in English and Spanish. At tax time, we keep your books clean and hand them to your CPA.

What a month looks like

Early in the month we pull the last month’s transactions, sort each one into its category and match it to the receipts you sent. Then every bank and card account is checked against its statement. Anything we can’t place goes on one short list for you. When you’ve answered it, you get the profit and loss report and a quick call to go over it.

That’s it on your end: send receipts as they happen and answer a few questions once a month.

Why every month and not once a year

In April nobody remembers what a February charge at the hardware store was for. Done monthly, the questions are fresh and the answers take a minute. You also see your numbers while you can still act on them, like a slow month you can plan around or a supplier whose prices crept up.

When filing season comes

Already have a CPA? We work alongside them and make their job shorter: clean books, reconciled accounts and every receipt in its place. No CPA? We prepare the tax return too, from the same books, so nothing gets typed in twice. See tax preparation in El Paso.

What’s included

Every transaction categorized.
Sales, supplies, payroll deposits, fuel, rent and the rest, each one sorted into the category your CPA expects to see.
Bank and card reconciliation.
Each account checked against its statement every month, so the books and the bank agree to the cent.
Receipt tracking.
Take a photo of the receipt or forward the email. We match it to the charge and keep it with the month.
A monthly profit and loss report.
What came in, what went out and what was left, by category, compared with the month before.
Questions in one list.
Anything we can't place, like a transfer with no note or a cash deposit, comes to you in one short list, not a dozen texts.
Books ready for your CPA.
At tax time your CPA gets clean, reconciled books and the receipts behind them. We answer their questions about the records.
In English or Spanish.
The report, the questions and the call to go over them, in whichever language you run the business in.

How it works

The same order every time: nothing is built, and nothing is paid, until you have seen your sample and the written quote.

  1. Tell us how your books are kept today

A shoebox, a spreadsheet, bookkeeping software or your CPA's year-end scramble. How many bank and card accounts you have, and roughly how busy a month is.

    Day 1

  2. Your written quote

A fixed monthly quote based on your accounts and how many transactions a month you run, with what's included spelled out.

    One business day

  3. You approve and share access

Read-only access to your bank and card statements, set up through your bank's own settings. No one needs your banking password.

    When you are ready

  4. Your first month closed

Every transaction categorized, accounts reconciled, receipts matched, the profit and loss report sent, and a short call to walk you through it.

    Day 30

  5. Every month after

The same close each month. At tax time the books go to your CPA, clean.

    Every month

As little as 48 hours of lead time covers most projects. Larger sites, online stores and sites with booking or ordering systems get their own dated timeline in the written quote.

How pricing works

Every business needs a different set of pieces, so every quote is written for yours. You see your free sample and a fixed written quote before you pay anything. Here is how a quote works.

  • Agency-quality work at small-business prices, quoted in writing before anything starts.
  • A fixed written quote. No surprise invoices.
  • You can own your website instead of renting it: no monthly website fee, with the domain, files and accounts in your name.
  • Pay for the services you actually need. Every package is built à la carte.

Questions

Are you a CPA? Will you do my taxes?

We're not a CPA firm, but yes, we prepare tax returns. Rodco's preparer is registered with the IRS and holds a PTIN, so most owners have us prepare the return straight from the books we keep. If you already work with a CPA, we hand them clean books instead. Details are on our tax preparation page.

What do I get each month?

A profit and loss report for the month, your bank and card accounts reconciled to the statements, receipts matched to the charges they belong to, and a short list of questions about anything we couldn't place. You answer the questions, we finish the month.

Do I need to buy bookkeeping software?

If you already use bookkeeping software and it works, we work in it. If you don't have any, we set it up in your business's name. Either way the books are yours, and if you ever stop the service, they stay with you.

My books are months behind. Can you start now?

Yes, but the back months come first. That's bookkeeping cleanup: we catch up the missing months, your CPA gets a clean starting point, and monthly bookkeeping picks up from there.

Do you keep books for businesses in Ciudad Juárez?

For the US side, yes: a Mexican business that sells in the US or has a US bank account. Mexican tax records, including the electronic invoices the SAT requires, stay with your contador in Mexico. We hand the US-side books to whoever needs them.

How much does bookkeeping cost for a small business?

It depends on how many bank and card accounts you have and how many transactions a month you run, so the price is a fixed monthly quote, in writing, before anything starts. An El Paso food truck with one account costs less to keep than a restaurant with three cards and a payroll account. If your books are behind, the cleanup is quoted on its own.
