How customers choose

Families pick a hall the way they pick a dress: they look at a lot of them on a phone, shortlist three, and visit one or two. Event venue website design is about making the shortlist. That means the page answers what families ask before they’ll book a tour: is the date open, how many people fit, what’s included and roughly what it costs. Then it makes the tour easy to book. Rodco Systems builds event venue websites for halls in El Paso, Las Cruces and Juárez, in Spanish and English, with open dates, packages and a tour request on the page.

What does a family check before booking a tour?

The date first. If Saturday, October 16 is gone, nothing else matters. A short list of open dates this season, or your booking calendar on the page, saves both sides a call. Showing open Fridays and Sundays with their price fills dates that would otherwise sit empty.

Then capacity and what’s included. A quince with 250 guests needs to know your seated capacity, the dance floor size and whether you allow outside catering, a bar or a taquero. Put those in numbers and in plain lists: tables, chairs, linens, setup hours, DJ, lighting, cleanup. Then a starting price per package. Families compare halls the same weekend, and a “from” price keeps the tour list to the families who can book.

What does the quote request ask?

Date and a backup date, type of event, guest count, ceremony or reception, catering and bar needs. With those, your first reply can confirm availability and name a package. Add a tour option with your tour hours so the family picks a slot instead of trading messages, and put WhatsApp beside the form, because many families would rather write than fill in a form.

What does the page look like? An illustrative wireframe

Picture a phone screen. A photo of your hall set for an evening event, your name and three buttons: Check a date, Book a tour, WhatsApp. Below, the halls with seated and standing capacity, then the packages with what each includes and a starting price, then the deposit and cancellation terms, the map with parking, and a reviews line from Google. On the Spanish page, the same layout with “XV años” and “boda” where the English says quinceañera and wedding.

That is an illustrative wireframe, not a client’s site.

Which seasons fill the calendar?

Your own booking book knows: look at which weekends sold first last year and put next year’s open ones on the site before families start asking. On this border, December adds posadas and company parties, and May and December add graduation parties. Google’s event posts help here: one for an open house or a bridal expo, with a title and start and end dates, keeps your profile current, and posts older than six months are archived unless they carry a date range.

What your site must do

  1. Quote request
  2. Tour or walkthrough

Must-have features

  1. Capacity and layout in numbers.

Seated and standing capacity for each hall, dance floor size, and a floor plan, so a family with 250 guests knows in seconds whether you fit.

  2. Packages with what's included and a starting price.

Tables, chairs, linens, setup hours, DJ, catering and bar policy (in-house or outside), and what costs extra. Families compare several halls the same weekend.

  3. A quote request built around the date.

Date, backup date, type of event, guest count and needs, so the reply can be real availability instead of "call us".

  4. A tour request with your tour hours.

The tour is where venues book. Let the family choose a slot from the site or by WhatsApp.

  5. Photos of your own hall, set up for real events.

Day and night, empty and set for a quince or a wedding, with the permission of the families shown.

  6. Spanish and English pages.

The quince family, the wedding couple and the planner may each prefer a different language, and they all share the link.

  7. Deposit, cancellation and payment terms in plain words.

Required in substance by PROFECO for Juárez venues, and the question every U.S. family asks before paying a deposit.

Region notes

El Paso

82.8% of El Paso County is Hispanic or Latino, and quinceañeras share a hall's calendar with weddings, baptisms and graduations. A venue page in El Paso should say which side of town you're on and how far from the main corridors (Montana, Zaragoza, Mesa, Dyer), whether there's parking for 100 cars, and what time the music has to stop. Families from Juárez book here too, so the Spanish page carries the same packages and the same terms.

Southern New Mexico

NMSU holds commencement in May and December, and those weekends are worth planning around. A venue in Las Cruces or Mesilla should say how long the drive is from El Paso, list the hotels nearby for out-of-town guests, and keep the English page first with a full Spanish version beside it. If you charge New Mexico gross receipts tax, show it as its own line on the quote.

Ciudad Juárez

INEGI lists 263 party and convention halls in Juárez, and 5 of them list a website; 85.6% have five workers or fewer. A salón with a real page, packages, capacity and a WhatsApp button is easy to find for families on both sides. Show prices in pesos with IVA included, with dollars for El Paso families as a reference, and state the deposit and cancellation terms PROFECO expects in your registered contract.

Questions

Should a venue publish its prices?

Publish enough to qualify the inquiry. Most venues show a starting price per package or per day of the week and what each package includes, then quote the exact total after the date and guest count are known. Families planning a quince compare several halls on the same weekend, and a "from" price keeps the ones who can't afford you from booking a tour. In Juárez, show the total in pesos with IVA included; Mexican consumer law requires it.

What should the quote request ask?

Date and a backup date, type of event, guest count, ceremony or reception only, catering and bar needs, and how they found you. With those, you can answer with real availability and a package in the first reply. Add a "Book a tour" option with your tour hours so the family can pick a slot.

How do we show which dates are open?

Either a simple "dates still open this season" list that you update, or your booking calendar embedded on the page. Saturdays go first, so showing open Fridays and Sundays with their price moves dates that would otherwise sit empty.

Do Google Business Profile posts help a venue?

Yes, for open houses, bridal expos and holiday parties. Google's event posts take a title and start and end dates and times, and posts older than six months are archived unless they have a date range. Two or three a season keep the profile current.

Our salón is in Juárez. What does PROFECO require?

PROFECO says providers of banquet and event services must register their adhesion contract with PROFECO under NOM-174-SCFI-2007, with clear cancellation terms, deposit amounts and dates, and what happens in case of force majeure. Put those terms on the site in plain Spanish and say the contract is registered once it is. Families can check the registry themselves.

How do I market an event venue?

Answer the family's first questions on the page and make the tour easy to book. Show capacity, what each package includes and a starting price, keep open dates current, and post photos from real events on Google and Instagram that link back to the site. In El Paso, Las Cruces and Juárez, many quinceañera and wedding families plan in Spanish, so the Spanish page should be complete, not a summary.
