Client portals and memberships in El Paso

A client portal gives each of your clients a private login to their own documents, bookings and invoices. Rodco Systems sets one up for small businesses in El Paso, and if you sell memberships, the same login is where members pay and reach what they signed up for.

At a glance

  • What: a private login where each client sees their own documents, bookings, invoices or membership content, without emailing you for each one.
  • Who it fits: offices that trade documents with clients, gyms and coaches with members, schools and groups with families.
  • Memberships: recurring payments go to a payment account in your business's name, and access turns on or off with the payment.
  • Privacy: each client sees only their own records, and you decide who has access.
  • How to start: tell us what clients ask you for most and get a free sample of the portal layout with a fixed written quote.

The problem it solves

If your inbox is full of “can you send that again?” and “when is my next appointment?”, a client portal answers those for you. Each client signs in and finds their own documents, bookings and invoices. If you sell memberships, the same login is where members pay and reach what they paid for.

Who uses a portal

A real estate office in El Paso shares disclosures and closing checklists with each buyer. A law office sends documents without attaching them to email. A gym or a coach in Las Cruces sells monthly plans with member-only classes. A daycare in Horizon City keeps enrollment forms and schedules where parents can find them at night.

How memberships stay in order

Access follows the payment. When a member pays, their content opens. If a card fails, the member gets a notice to update it, and you set the grace period. Every payment goes to an account in your business’s name. Forms signed through online forms and e-signature can show up in the same portal, on the same client.

What it isn’t

It isn’t an app built from scratch, and it isn’t the place for medical records. It’s a setup in your own account, priced honestly, that we can change as your list of clients grows. Start with a free sample of your portal.

What’s included

A login for each client.
Clients sign in with their email and find their own documents, bookings and invoices in one place.
Documents both ways.
You post files for a client, and the client uploads what you asked for, instead of a chain of attachments.
Membership levels and recurring payments.
Monthly or yearly plans paid by card into an account in your business's name, with access tied to the payment.
Member-only content.
Classes, videos, guides or schedules that open only for paying members.
Notices when something changes.
An email when a new document is ready or a card needs updating, so nobody has to ask.
Your look, your words.
Your logo and colors, with instructions in English, Spanish or both.

How it works

The same order every time: nothing is built, and nothing is paid, until you have seen your sample and the written quote.

  1. Tell us what clients ask you for

The documents you email back and forth, the questions you answer every week and, for memberships, the plans you want to sell.

    Day 1

  2. Your free sample

A map of the portal showing what each client sees after signing in, the membership levels and the welcome email, with a fixed written quote. Free, with no obligation.

    One business day

  3. You approve, we build and test

Built in your own account, then tested with test clients on phones and computers: signing in, uploading, paying and losing access when a payment stops.

    When you are ready

  4. Training

Adding a client, sharing a document, changing a plan and removing access.

    1 session

  5. The first 30 days

We look at what clients still email you about and move it into the portal.

    Day 30

As little as 48 hours of lead time covers most projects. Larger sites, online stores and sites with booking or ordering systems get their own dated timeline in the written quote.

How pricing works

Every business needs a different set of pieces, so every quote is written for yours. You see your free sample and a fixed written quote before you pay anything. Here is how a quote works.

  • Agency-quality work at small-business prices, quoted in writing before anything starts.
  • A fixed written quote. No surprise invoices.
  • You can own your website instead of renting it: no monthly website fee, with the domain, files and accounts in your name.
  • Pay for the services you actually need. Every package is built à la carte.

Questions

What is a client portal?

A client portal is a private page on your website where each client signs in and sees only their own things: documents, upcoming bookings, invoices and messages. For a small business in El Paso, Las Cruces or Juárez, it replaces the emails asking you to resend a file or confirm a time.

What can clients see in the portal?

Whatever you choose: documents you share and ones they upload for you, upcoming appointments, open invoices, signed forms, class videos or member-only pages. Each client sees only their own records. You see all of it from the same account you already work in.

Do clients need to download an app?

No. The portal opens in the phone's browser or on a computer. Clients sign in with their email address, and the first time they get a link to set their password.

How do memberships work?

You set the levels and the prices. A member pays by card through an account in your business's name, the charge repeats monthly or yearly, and access opens with the first payment. If a card fails, the member gets a notice to update it, and you choose how long access stays open in the meantime. Members can update their card or cancel from the portal.

Is it safe to share documents there?

Safer than email attachments that get forwarded. Files sit behind each client's own login, and you can remove anyone's access at any time. Some records come with rules of their own, like medical files. Tell us first, and if this setup isn't the right place for them, we will say so plainly.

Can the portal be in Spanish?

Yes. The welcome page, instructions, emails and your content can be in English, Spanish or both. The free sample shows the sign-in screens in both languages, so you know exactly what a client in Socorro or Ciudad Juárez will see.
